Client Objective
Client Introduction
The client is a forward-thinking Indian BPO company that focuses on transforming the logistics industry by leveraging digital technologies. Their services include data management, process optimization, and digitization to create a more technologically advanced and efficient ecosystem for transportation and manufacturing businesses.
Challenge
The primary challenges faced by the client and their customers were:
- Manual Invoice Processing: The existing process of handling invoices generated during transportation was highly manual, time-consuming, and error-prone.
- Data Verification: It was difficult to validate the accuracy of data on invoices, including recipient and sender details, product descriptions, and responsible entities.
- Resource Intensive: The high level of manual intervention required for invoice processing led to significant resource utilization and increased turnaround times (TAT).
What We Did
To address these challenges, the service provider implemented a comprehensive invoice digitization solution. The services included:
- Data Extraction with Google Cloud Vision API: The Google Cloud Vision API was used to extract information from invoices. This technology allowed for the automatic recognition of text, including sender and recipient details, product descriptions, and other relevant data.
- Data Segregation and Storage: The extracted data was segregated and stored in Google Cloud SQL for easy access and retrieval.
- Data Validation: The stored data was compared with the client's product database to identify and flag any discrepancies or false information.
- User Interface (UI) Development: An intuitive user interface was developed to allow human verification of the extracted information. This UI enabled the review and correction of data as needed.
Outcome
The implementation of the invoice digitization project resulted in several significant outcomes:
- Resource Efficiency: The client was able to reduce their manpower requirements by 30%. Automation and digitization reduced the need for manual data entry and validation.
- Accelerated Turnaround Time (TAT): The time-to-process invoices was significantly improved, with a reduction in TAT by over 80%. This allowed for quicker payment processing and more efficient audits.
- Data Accuracy: By validating and cross-referencing the extracted data with the client's product database, data accuracy was substantially improved. This led to fewer discrepancies and errors in the invoicing process.
- Cost Savings: Reduced manual intervention and improved efficiency resulted in cost savings for the client and their customers.
